Reporting in Salesforce with Alyce Gift Data

This article reviews the available default report types, key fields, and some recommended reporting best practices.

Out of the Box Alyce Reports

Alyce recommends starting with the provided template reports from within the Alyce Template Reports folder to get an idea of how to build a valuable report, including necessary filters. There are many different combinations of reports possible with the Alyce gifting information in Salesforce, and these are a good place to start.

Alyce Isolated Gifts Invitations (Duplicate Handling)

In an effort to provide your team with a mechanism to handle duplicate leads and/or contacts, we've created a report that will highlight what gifts are lacking an association to a lead or contact. This will help your team understand where there might be a data gap and what lead and/or contacts need to be updated.   

Alyce - Gift Selection Ready

  • This report allows End Users to easily see which gifts have research completed and are ready to be selected.  
  • NOTE: This is a "Gifts with Contacts" report type. If you utilize Leads for Alyce you will have to create this report with type “Lead”.  
  • In the first column, there is a "Choose Gifts" button - this will bring the End User to the gifting flow for that row's contact.   

Alyce - Invites Delivered, but Not Viewed

  • This report will show the End User all of their invites that have been delivered but have yet to be viewed by the prospect (or customer). 
  • To access go to Reports Search for Folder "Alyce Template Reports".
  • NOTE: This is a "Gifts with Contacts" report type. If you utilize Leads for Alyce you will have to create this report with type “Lead”. 
  • Recommended filters for individuals:
    • Show me: My Gifts (or all is you want to show all)
    • Invitation Sent At: All Time
    • Viewed At: Equals (leave empty)
    • Invitation Delivered At: Equals Relative Date "LAST 30 DAYS"

Recommendation on Actions: These are the prospects that currently have the invitation but yet to engage.

  • Shoot them a follow-up email or LinkedIn message with the "Alyce Gift Link."  Your note may already be on their desk but they haven't had a chance to get to the Landing Page yet - provide it in email and it will be top of mind (and clickable!).
  • In your follow up remember to keep leaning into the Alyce Experience that gives the prospect the ability to Accept, Exchange, or Donate.   

Alyce Gift Invitations Sent

  • This report helps Sales and Marketing managers see the overall Alyce gift invitations sent, sorted by team member.
  • To access go to Reports Search for Folder "Alyce Template Reports".
  • Note it is a "Gifts with Contacts" report type. If you utilize leads for Alyce you will have to create this report with type “lead”

Activities with Gifts - Used for reporting on gifts related to activities in Salesforce

Gifts - Used for building reports just around gifts using fields in the gift object

Gifts with Campaign - Used for reporting on gifts related to campaigns in Salesforce

Gifts with Contact - Used for reporting on gifts related to contacts in Salesforce

Gifts with Lead - Used for reporting on gifts related to leads in Salesforce

Gifts with Opportunity - Used for reporting on gifts related to opportunities in Salesforce

Gifts with Account - Used for reporting on gifts related to accounts in Salesforce

Gift History - Used for looking at historical information on gifts and who created the records, not generally recommended for reporting dashboards

Important Note: "gifts with contact or lead" reports will only work when the gift is connected to the associated other object, so for gifts with contacts, if the contact field is not filled in with the gift, because Alyce was not able to associate the gift with a contact when it was created, the gift will not appear on the report.

Note: The following reports are available out of the box with the New Experience: Alyce for Salesforce 2.0

Alyce Gifts Accepted

  • This report helps Sales and Marketing managers see all of the Alyce gifts which were accepted by Recipients.
  • This report also breaks down those gifts by Recipient, Campaign, Account, and Opportunity for easy sorting and filtering.
  • To access go to Reports Search for Folder "Alyce Template Reports".

Alyce Highly Gifted Accounts

  • This report helps Sales and Marketing managers visualize their Salesforce accounts based on Alyce gifting activity.
  • It will sort your accounts into Low, Medium, and High buckets based on the amount they have been gifted in the past.
  • To access go to Reports Search for Folder "Alyce Template Reports".

Alyce Meetings Booked

  • This report helps Sales and Marketing managers see when recipients have provided their meeting availability following an Alyce gift being sent.
  • This report also breaks down those gifts by Recipient, Account, and Opportunity for easy sorting and filtering.
  • To access go to Reports Search for Folder "Alyce Template Reports".

Alyce Meetings Held

  • This report helps Sales and Marketing managers see all gifts where the Salesforce user has checked that the Meeting Was Held.
  • This report also breaks down those gifts by Recipient and Account for easy sorting and filtering.
  • To access go to Reports Search for Folder "Alyce Template Reports".

Alyce Opportunities Created

The Opportunities Created report looks at any Opportunity that has a gift that was sent before the create date of that Opportunity. Gifts are tied to Opportunities through the recipient's Contact or Lead. If that Contact or Lead is tied to an Opportunity the gift will be too. 

  • This report helps Sales and Marketing managers see all gifts which resulted in the creation of a Salesforce opportunity.
  • This report also breaks down those gifts by Account and Opportunity and includes the Opportunity Amount for easy sorting and filtering.
  • To access go to Reports Search for Folder "Alyce Template Reports".

Alyce Opportunities Influenced

he Opportunities influenced report looks at any Opportunity that has a gift that was sent after the create date but before the close date of that Opportunity. Gifts are tied to Opportunities through the recipient's Contact or Lead. If that Contact or Lead is tied to an Opportunity the gift will be too. 

  • This report helps Sales and Marketing managers see all opportunities where the Account has been gifted.
  • This report also breaks down those gifts by Account and Opportunity and includes the number of gift invitations sent to that account.
  • To access go to Reports Search for Folder "Alyce Template Reports".

Key Fields To Understand

Contact - The contact associated with the gift, if available, this is generally included as long as a contact exists for the recipient

Account - The account associated with the gift, if available, this account will be based on the account connected to the contact

Opportunity - The opportunity associated with the gift, if available, this opportunity will be based on the contact if they have one connected

Campaign - The campaign associated with the gift, if available, the campaign will be based on whether there is an Alyce campaign connected to a Salesforce campaign, and if one of those was used to create the gift

Sent By Name - This is the name who was the initial sender and creator of the gift

Sent As Name - This is the name of the send as for the gift, if you used that functionality in the campaign or gift (i.e. Your BDR Ashley sent the gift on behalf of Michael, your Account Executive. Michael's name would show up in "sent as name."

Gift Invitation Status - This is the status of the gift invitation, in text format

Gift Status ID - This is the status of the gift invitation, in numerical format

Gift Invitation Delivery Method - This is the method used for gift invitation

Alyce Gift Link - This is the recipient landing page for the gift, when available

Date Fields - There are a number of fields like Invitation Delivered At, and Viewed At, which can be used for analysis and reporting on gifts in different statuses and determining how long they have been and spent their throughout their lifecycle

Recipient Research - Alyce provides access within Salesforce to our research through this field.

Gift Name - The name of the gift initially offered with the gift invitation
